2. Professional Data: Company Name, MC (Motor Carrier) Number, DOT Number, and business descriptions.

3. Information Collected by Truckbooks Mobile App

When you use our Truckbooks mobile application, we collect the following categories of information:

3.1 Account Information

• Email address (for OTP verification and account identification)
• MC (Motor Carrier) Number
• DOT Number
• Legal business name
• Physical business address (street, city, state, zip code)

3.2 Device Information

• Device manufacturer and model
• Operating system name and version
• Unique installation identifier (to prevent duplicate accounts)

3.3 User-Generated Content

• Haul/load records (pickup and dropoff locations, rates, distances, weights, commodities, broker information)
• Financial data (expenses, income transactions, goals)
• Broker reviews and ratings
• Documents uploaded for AI scanning (rate confirmations, load tenders)
• Notes and custom entries

3.4 Camera and Photo Library Access

Truckbooks requests access to your device's camera and photo library solely for the purpose of scanning and importing rate confirmation documents. We do not access your photos for any other purpose. You can deny this permission and still use the app's core features.

4. How We Use Your Information

We use personal information collected via our website and mobile app for a variety of business purposes described below:

• To facilitate account creation and logon process: If you choose to link your account with us, we use the information you allowed us to collect to facilitate account creation.
• To send administrative information to you: We may use your personal information to send you product, service, and new feature information.
• To send you marketing and promotional communications: We and/or our third-party bulk email partners may use the personal information you send to us for our marketing purposes. You can opt-out of our marketing emails at any time.
• To manage user accounts: We may use your information for the purposes of managing our account and keeping it in working order.
• To enforce our terms: We may use your information to verify compliance with our Terms of Service (e.g., verifying MC Numbers for directory integrity).
• To provide AI-powered document scanning: When you use the AI scan feature in Truckbooks, your documents are processed to extract load information automatically.
• To verify carrier/broker status: We use your MC/DOT numbers to verify operating authority through the FMCSA database.

5. Sharing Your Information with Third Parties

We share information with the following third parties:

1. Bulk Email Providers: We may share your email address with third-party email service providers to send newsletters and updates.
2. Analytics: We use Google Analytics to track and analyze website traffic and user behavior.
3. OpenAI: When you use the AI document scanning feature in Truckbooks, your uploaded documents (images or PDFs of rate confirmations) are sent to OpenAI's API for processing. OpenAI processes these documents to extract structured data such as load numbers, rates, pickup/dropoff locations, and broker information. We do not use this data for AI model training. 4. FMCSA (Federal Motor Carrier Safety Administration): We query the FMCSA public database using your MC or DOT number to retrieve and verify carrier information, operating authority status, and safety ratings. This is publicly available government data.
5. Our Backend Servers: Your profile information and broker reviews may be synced to our servers (admin.truckinghelpcenter.com) to enable features like cloud backup and community broker reviews. This sync is optional and can be disabled.

We do not sell your personal data to outside traders.

6. Data Storage and Retention

6.1 Local Storage (Truckbooks App)

Most of your data in Truckbooks is stored locally on your device in a secure SQLite database. This includes your hauls, expenses, income, goals, and achievements. This data remains on your device until you choose to delete it.

6.2 Cloud Storage

When you enable sync features, certain data (profile information, broker reviews) is stored on our servers. We retain this data for as long as your account is active or as needed to provide you services.

6.3 Retention Period

We will only keep your personal information for as long as it is necessary for the purposes set out in this privacy policy, unless a longer retention period is required or permitted by law. When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize it.

7. Your Privacy Rights

You have the following rights regarding your personal data:

7.1 Right to Access

You can request a copy of the personal data we hold about you by contacting us at support@truckinghelpcenter.com.

7.2 Right to Deletion

You can delete your account and all associated data directly within the Truckbooks app by going to Settings → Account → Delete Account & Data. This will permanently delete:

• Your profile information
• All hauls and load records
• All expenses and income records
• Goals and achievements
• Broker reviews
• Bookmarks and saved searches
• All uploaded documents

7.3 Right to Withdraw Consent

You can withdraw consent for optional data processing (such as cloud sync) at any time through the app settings. Note that withdrawing consent will not affect the lawfulness of any processing conducted prior to your withdrawal.

7.4 Right to Opt-Out

You can opt out of marketing communications at any time by clicking the unsubscribe link in our emails or contacting us directly.

8. Cookies and Tracking Technologies

We use cookies and similar tracking technologies to access or store information on our website. Specific information about how we use such technologies and how you can refuse certain cookies is set out in our Cookie Policy.

The Truckbooks mobile app does not use cookies but may use device identifiers to prevent duplicate account creation and to provide a personalized experience.

9. Information Safety

We have implemented appropriate technical and organizational security measures designed to protect the security of any personal information we process. These include:

• Encrypted data transmission using HTTPS/TLS
• Secure local storage on your device
• Access controls and authentication requirements

However, no electronic transmission over the internet or information storage technology can be guaranteed to be 100% secure. We cannot guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security measures.

10. Children's Privacy

Our services are not directed to individuals under the age of 18. We do not knowingly collect personal information from children under 18. If you become aware that a child has provided us with personal information, please contact us. If we become aware that we have collected personal information from children without verification of parental consent, we take steps to remove that information from our servers.
